MARYLAND CHAPTER M.E.C. DUTIES AND RESPONSIBILITIES
Existing Maryland GWRRA Chapter Memberships:
1. Check your "Green Bar and Area Report" for accuracy of each member’s information. In the event that you find any area(s) where corrections may be required please contact the member to ascertain the correct information (for your current record) then also ask the member to contact GWRRA. Provide to the member in person, via e-mail or USPS the GWRRA instruction form "UPDATING PERSONAL INFORMATION AT HOME OFFICE". The same applies if a member changes his/her chapter affiliation in which case you would also provide the GWRRA instruction form "HOW DO I CHANGE MY CHAPTER AFFILIATION".
2. Within 60 days of the expiration date of any member contact the member by email and post card/contact letter and then follow up within 30 days of expiration (if necessary) with a phone call to the member to remind him/her to renew their membership(s). Keep in mind that they (should) during this same time frame receive a renewal packet from GWRRA Member Services. If the member informs you that he/she will NOT renew please ascertain the reason and forward that information to your District M.E.D via email as soon as possible. If you find that the member will renew (or has renewed) please ascertain for how long and forward that information via email to your District M.E.D.
3. Memberships on the area report that have already expired:
A. Contact the member immediately by telephone and post card/contact letter and ascertain if they plan to renew or the reason they will not and forward that information to the District M.E.D. via email.
B. If the member(s) plan on renewing and would like to do so immediately please provide the GWRRA Customer Service telephone number and email address: 800-843-9460 (customerservice@gwrra.org). If you find the member(s) will renew please inform the District M.E.D. via email.
New Maryland GWRRA Area Members:
1. Communicate personally by phone accompanied by an invitation letter on Chapter letterhead. Identify yourself, the Chapter and the Chapter Director(s). Invite the new member(s) to attend the next Chapter Gathering giving them all pertinent information such as location, time, etc. If possible obtain their e-mail address and offer to send them a copy of the latest Chapter Newsletter for at least 3 months. Give the Chapter Web Page Address to the prospected member if they wish look up the Chapter on their own. Seeing your newsletter may have a positive impact on the member’s decision to visit your chapter and hopefully maintain their association.
2. If the GWRRA member does not attend the next gathering as invited, personally contact the member by phone and attempt to ascertain if they may possibly make the next gathering or if they plan on attending any gatherings in the future at all. If not then please try to ascertain why and forward any received information to the District M.E.D. via email.
General:
Should you as Chapter M.E.C. have or develop any other enhancement activities that prove positive in new member sign up or member retention please inform the District M.E.D. via email of your activity so that information may be forwarded and possibly put into practice by other District Chapters as well.
